Business context
Pro QC relied on manual, document-driven workflows that slowed inspections and made scaling difficult. Data lived across spreadsheets and files, onboarding was time-consuming, and outdated templates created inconsistencies across regions. The lack of automation increased error risk, while clients had no way to track inspection progress in real time.
To modernize operations, Pro QC needed a digital system that centralizes data, reduces manual work, and gives both internal teams and clients clear, real-time visibility into every inspection.

Business analysis
We began by mapping existing workflows and identifying where manual processes and scattered documentation slowed inspections. Through detailed research, we defined the functional needs, clarified user roles, and prepared key discovery assets, including the Work Breakdown Structure and Vision & Scope. This ensured every decision was aligned with Pro QC’s operational priorities.
Project management
Our team coordinated the discovery phase end-to-end, collecting requirements, managing stakeholder alignment, and defining a clear project scope. By structuring communication and timelines, we created a predictable path toward development and set the foundation for a smooth transition into the build phase.
UX/UI design
We designed user-centered prototypes to simplify the process of collecting, reviewing, and submitting inspection data for inspectors. The new interface supports quick navigation, reduces cognitive load, and improves clarity for both technical supervisors and quality engineers, making the inspection workflow more intuitive and consistent.
Solution architecture
We defined a scalable architecture capable of integrating with Pro QC’s ERP and supporting global operations. The proposed solution centralizes inspection data, removes dependency on outdated templates, and prepares the system for secure growth across regions and inspection types.
In collaboration with the client, we developed a roadmap that outlined timelines, budget constraints, and a practical approach for modernizing inspection workflows.
Our mutual efforts resulted in a structured backlog with clear acceptance criteria and a WBS that outlined the priorities for the initial development phase.
